Bookings & Availability
From “is the Yukon free?” to a signed, paid booking — without a spreadsheet in sight.
One thread runs the whole pipeline: a deal moves across the board, the fleet calendar holds the unit, and the quote locks an agreed total. Double-bookings aren’t caught after the fact — they’re made impossible.
Pipeline
A board that does the chasing for you
Every enquiry becomes a deal card the moment it lands — WhatsApp, web form, or walk-in. Drag it through stages you defined, and automation rules fire the quote, request the deposit, and ping the dispatcher at exactly the right column.
- Tenant-defined stages — rename, reorder, recolour per branch
- Automation rules per column: send quote, request deposit, auto-advance on payment
- Owner, vehicle, dates, and agreed total visible on every card
- Stale deals surface themselves before the customer goes cold

Availability
The calendar that refuses to double-book
The instant a deal is reserved, the unit is held on a live fleet timeline. Carfleet checks every booking against half-open overlap [start, end) — so a car returned at 11:00 is bookable from 11:00, but two rentals can never share a minute.
- Auto-holds the moment a deal reaches Reserved
- Holds expire on your timer and release the car if no deposit lands
- Half-open overlap math — back-to-back rentals fit, conflicts can't
- Maintenance, Salik tags, and registration renewals block the lane too

Quote
One agreed total — and it doesn't drift
Build the quote from the daily rate, mileage caps, Salik recharge, and add-ons. Carfleet stacks it with 5% VAT into a single agreed total, captures the deposit your way, and freezes the number at confirmation.
- Transparent stack: rate × days, add-ons, Salik, then 5% VAT on top
- Deposit options — card hold, cash, or bank transfer against Emirates ID + TRN
- Refundable security or non-refundable booking fee, tracked to the deal
- Agreed total locks at confirmation — the contract bills exactly what was quoted

Guardrails
The boring failures, engineered out
Double-bookings, drifting prices, and deals that go quiet are the three ways a rental desk leaks money. Carfleet closes all three at the data layer — not with a reminder you'll ignore.
Half-open overlap math
A Yukon free at 11:00 return is bookable from 11:00 — not blocked all day. Carfleet treats every window as [start, end), so back-to-back rentals fit without phantom gaps.
Holds, not hopes
Move a deal to Reserved and the unit is held on the calendar instantly. The hold expires on your timer if no deposit lands, releasing the car back to the pool automatically.
Your pipeline, your stages
Rename, reorder, and recolour stages per branch. A Dubai Marina desk and an airport counter can run different funnels under one tenant.
Rules that move work
When a card lands in Quoted, fire the WhatsApp quote. When a deposit clears, auto-advance to Confirmed and notify the dispatcher. No one babysits the board.
Deposit your way
Card hold, cash, or bank transfer against the Emirates ID and TRN on file — refundable security or a non-refundable booking fee, each tracked to the deal.
Agreed total, locked
Daily rate, Salik, mileage caps, and 5% VAT settle into one agreed total that's frozen at confirmation. The price the customer saw is the price you bill.
